Hawaiʻi Behavioral Companions LLC (“HBC,” “we,” “us”) provides companion-based behavioral respite and safety shadowing for families traveling on Oʻahu. Families trust us with unusually personal information about people they love. This policy explains exactly what we collect, what we do with it, and — just as important — what we never do with it.
We are a single-owner business, not a data company. We do not sell personal information. We have never sold personal information, and selling it is not part of any plan we have.
1. Information we collect
Information you give us directly
- Contact details — your name, email address, phone number, and the property or address where service will take place.
- Trip details — arrival and departure dates, requested session dates and times.
- Connection Profile information — the intake form you complete before service. This describes the person who will be receiving support: age, communication style and preferences, interests, sensory sensitivities, early signs of overload, calming strategies, safety considerations (including elopement or water-attraction risk), allergies, and any house rules or boundaries you want honored.
- Consent selections — your choices on the media release (full consent, non-identifiable images only, or no photographs), and whether you have opted in to receive text messages.
- Anything you write to us — email, text, or voicemail content.
Information collected automatically
- Standard web server and hosting logs, which may include IP address, browser type, pages visited, and referring page. We use this only to keep the site working and to understand roughly how people find us.
Information handled by our service providers, not by us
- Payment information. Card and bank details are entered directly into our payment processor. We never see, handle, or store your full card number.
- Scheduling. Connection Calls are booked through our scheduling provider, which collects your name, email, and the details you type into the booking form.
- Forms. Our intake form is delivered through a third-party form service, which stores your responses on our behalf under its own security terms.
2. How we use your information
- To answer your questions and schedule a Connection Call.
- To build the support plan for your loved one — this is the entire purpose of the Connection Profile, and it is the information that makes the service safe rather than generic.
- To confirm bookings, send invoices and deposit reminders, and coordinate logistics on the day of service (arrival, hand-off, return).
- To reach you or your emergency contact during a session if something needs your attention.
- To keep the business records we are legally required to keep, including Hawaiʻi General Excise Tax records.
- To honor your consent choices about photographs.
We do not use your information to build advertising profiles, and we do not run targeted advertising.
3. Text messaging (SMS)
We use text messaging for one reason: it is the fastest way to reach a parent who is off resting while we are with their loved one. Messaging is entirely optional and is never required to book or receive service.
How consent is obtained
You may opt in to receive text messages from HBC in any of these ways:
- By checking the optional, unchecked SMS consent box on our intake form (“The HBC Connection Profile”) on this website;
- By giving verbal consent during your Connection Call, which we then confirm in writing;
- By texting our business number first, which we treat as consent to reply.
Consent to receive text messages is not a condition of purchase, booking, or receiving any service from HBC. Declining changes nothing about the care you receive; we will simply use email and phone calls instead.
What we send
- Connection Call and appointment reminders and confirmations
- Day-of session coordination: arrival, hand-off, check-ins, and return
- Invoice, deposit, and balance reminders
- Replies to questions you send us
We do not send marketing, promotional, or advertising text messages.
Frequency, rates, and opting out
- Message frequency varies — most families receive messages only in the days immediately surrounding a scheduled session.
- Message and data rates may apply. Your mobile carrier’s standard charges are your responsibility.
- Reply STOP to any message to opt out at any time. We will send one confirmation that you have been unsubscribed, and then nothing further.

- Carriers are not liable for delayed or undelivered messages.
- Supported carriers may change without notice.
Our promise about your mobile number:
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All categories described in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
We do not sell, rent, trade, or otherwise provide your mobile phone number, or your consent to be messaged, to anyone for marketing or promotional purposes — not to affiliates, not to partners, not to data brokers, not to anyone.
4. When we share information — and when we don’t
We share your information only in these specific situations:
- Service providers who help us operate, and only to the extent needed to do their job: our telephony provider (to actually deliver a text or a call), our payment processor (to process a payment), our scheduling and form providers (to take a booking or an intake response), and our email and hosting providers. These providers act on our instructions and are not permitted to use your information for their own marketing.
- Emergency responders or medical personnel, if your loved one’s health or safety requires it during a session. In an emergency we will share what is necessary to keep them safe, and we will contact you as soon as it is possible to do so.
- When the law requires it — a valid subpoena, court order, or a mandatory report. As a Registered Behavior Technician, we are a mandated reporter of suspected abuse or neglect under Hawaiʻi law, and we will follow that obligation.
- With your explicit, specific permission — for example, if you ask us to coordinate with your child’s BCBA, teacher, or a resort staff member.
We never:
- Sell your personal information, for any amount, to anyone.
- Share your mobile number or messaging consent for marketing or promotional purposes.
- Give your information to advertising networks or data brokers.
- Publish a diagnosis, a name, and travel dates together, anywhere, ever.
5. Information about the people we support
The Connection Profile contains sensitive information about a real person — often a child, often with a disability. We treat it accordingly:
- It is used only to plan and deliver that person’s support, and is never used as marketing material.
- It is not shared with other families, and it is not discussed with anyone outside the circumstances listed in section 4.
- If we ever write or speak publicly about the work, we do so without identifying details. Any example used publicly is either fully de-identified or used with written permission obtained separately from your service agreement.
HBC provides companion-based behavioral respite and safety shadowing. We do not provide nursing, medical administration, or clinical RBT/ABA therapy services, and we do not bill insurance. We are therefore not a HIPAA-covered entity, and we do not claim to be. We hold this information confidentially as a matter of professional and personal obligation, not because a federal statute compels us to.
6. Children’s privacy
This website is directed to adults. We do not knowingly collect information directly from children under 13. Information about a minor reaches us only from that minor’s parent or legal guardian, who provides it on the minor’s behalf as part of arranging service. A parent or guardian may review, correct, or ask us to delete that information at any time using the contact details below.
7. Photographs and media
Photographs are taken only when the media release in your service agreement permits it. Any gallery we share with you is private and password-protected, and is never publicly indexed. Consent is revocable in writing at any time, and we honor revocation retroactively — we take the images down. Publicly shared images default to non-identifiable ones.
8. How long we keep information
- Financial and tax records: a minimum of seven years, as required for federal and Hawaiʻi state tax purposes.
- Signed service agreements and liability waivers: a minimum of seven years.
- Connection Profiles and session notes: up to three years after the last date of service, so that a returning family does not have to start from scratch. You may ask us to delete them sooner.
- SMS consent records: kept for as long as you are opted in, plus the period afterward needed to prove that your opt-out was honored.
- Inquiries that never became bookings: deleted within twelve months.
9. How we protect it
Files are stored in password-protected, access-controlled accounts under two-factor authentication. Access is limited to the owner of the business. Photographs of clients are kept on dedicated equipment and off personal devices. No system is perfect, and we will not pretend otherwise — but we keep the number of places your information lives deliberately small.
10. Your choices
- Stop texts: reply STOP to any message.
- Stop emails: reply and ask, or use the unsubscribe link.
- See what we hold about you: ask, and we will tell you.
- Correct it: ask, and we will fix it.
- Delete it: ask, and we will delete everything we are not legally required to keep, and tell you plainly what we had to keep and why.
- Withdraw photo consent: in writing, at any time.
We respond to these requests within 30 days. There is no charge.
11. Changes to this policy
If we change this policy we will update the effective date at the top. Material changes affecting how we use information you have already given us will be sent to you by email before they take effect.
